Here is a brief checklist to help you improve your ROO (return on Objective) and ROI (Return on Investment) for your team building event.
Objective
First, what is your primary objective for having a team building event? The three common objectives are:
- Building Relationships & Social Networking
These should be interactive. A good activity will have everyone involved, participatory by not being intimidating or stressful. The focus should be on fun.
- Improving a Business Issue
- Communication - listening skills and problem solving
- Morale - repect, empowerment, and recognition
- Strategic Planning - values, goals, and innovation
- Creating an Effective Team
- Goal Setting
- Behaviors
- Roles and Responsibilities
- Others include: Leadership, Sales, and Customer Service
Purpose
Sometimes there are overlaps in objectives, in which case the next step of defining "the purpose" will help to clarify the objective.
The Purpose is defined as follows:
"After this session, we want attendees to..." (fill in your purpose)
With the objective and purpose decided, a time allotment will be easier to determine, (90 minutes, half-day, full-day, two days)?
The next question is: Can this objective be achieved in this one session? If not, then follow-up and sustainability need to be addressed.
Participants
Now that the objective and purposed are established, next decide who needs to participate? This may vary from the whole organization, the marketing department, to the board of directors. Having one key person missing can sabotage the intended results. In addition, leaving people out that need to support these objectives can cause a fatal weakness in the execution of the objective.
Budget
That brings us to budget. This team building session was created to improve or change a situation. How will this improvement or change finanically affect the organiztion?
There is a financial aspect to every change, from clear subject lines in your emails, giving an extra effort to listen, less tardiness, clarifing one's responsibilites, finding someone's hidden talent, or understanding why someone thinks a certain way. What is the cost benefit to improving an issue? What is the return on objective? When objectives are clear, measuring results becomes easier. Don't short change the long term affects team building will have when deciding on a budget.
Logistics
Now that you have objective, purpose, time allotment, attendee list, and return on objective, logistics is next. Thoughts to consider:
- Location - ease of travel, distance, audio/visual needs, overnight accommodations, enhancements (spa/golf), food (vegetarian or Kosher) and beverages.
- Meeting Rooms - size and adjacent activities (prom? wedding?)
- Set Up - tables (rounds, boardroom, "U" shaped), chairs (folding, executive, banquet/stacking, none) and break locations.
- Timing - schedule of attendees, other local events (festivals, concerts, sporting events), and religious holidays.
Conclusion
Teamwork and focus are crucial to an effective execution of a mission. All the areas discussed can be critical to a successful team building event. Creating an environment that is conducive to team building will greatly enhance its potential for success.
